The Business Confucius Institute was established at the Athens University of Economics and Business (AUEB) in collaboration with the University of International Business & Economics in Beijing, with the primary aim of promoting relations between the Greek and Chinese peoples through a range of activities designed to disseminate the Chinese language and culture and to develop cultural and educational cooperation. With regard to Chinese language teaching, the Business Confucius Institute at AUEB offers annual Chinese language learning programmes. To express your interest in enrolling in one of these programmes, you are required to submit an online enrolment application for the programme of your choice. Through this application, you provide the Business Confucius Institute at AUEB with personal data relating to you. For the processing of personal data, the Athens University of Economics and Business, through the Business Confucius Institute, acts as Data Controller in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (General Data Protection Regulation – GDPR) on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and with Law 4624/2019, as in force. The Business Confucius Institute at AUEB is committed to protecting your personal data and to processing it in a transparent manner.

Personal data we process

These are the personal data you provide for your enrolment in the programme of your choice by completing the fields of the online enrolment application (hereinafter, “participation data”), and include:

• Personal data: first name, surname, Tax Identification Number (TIN).
• Contact details: email address and mobile telephone number.
• Billing details: only where you wish an invoice to be issued to a company/business as the lawful receipt for tuition fees, the following company/business billing details are requested: Tax Identification Number (TIN), address, postal code, city, country and competent Tax Office.
• Evidence of eligibility for a tuition fee discount: where you are eligible and wish to claim a tuition fee discount under the Business Confucius Institute’s applicable discount policy, you are asked to provide data contained in the relevant document evidencing entitlement to the requested discount:
  • A valid academic identity card or a recent certificate of enrolment, where you are an undergraduate or postgraduate student on a degree-awarding programme at any Greek public university.
  • A recent and valid certificate of unemployment, where you declare that you are unemployed.
  • A supporting document proving that the persons are members of the same family, where two or more persons related to you in the first degree register during the same academic year.
  • A valid academic pass issued by the Athens University of Economics and Business, where you are a holder of an AUEB academic identity card (first-, second- or third-cycle student of the Athens University of Economics and Business).
  • A service identity card or other official proof of status, where you are a member of the Armed Forces or Security Forces.
  • No supporting document is required for re-enrolment or for enrolment in more than two programmes.
• Proof of Payment of Tuition Fees.
• Where the enrolment application concerns a prospective student under the age of 18, the online enrolment form asks whether or not the applicant is under 18. Where the enrolment concerns a minor, the application is submitted by the person exercising parental responsibility, who must provide, in addition to the data referred to above, their own personal data and contact details. 

Purposes of personal data processing

The Business Confucius Institute at AUEB processes the participation data relating to you that you submit through the online application for the purpose of assessing your application, registering you and enabling your participation as a student in the programme for which you have applied. In particular:

• Personal data are requested and processed for identification purposes, and the Tax Identification Number (TIN) is requested to identify the liable person and to issue the lawful receipts for your tuition fees.
• Contact details are requested and processed in order to facilitate communication with you and to provide you with information concerning the learning programme of your choice.
• Billing details are requested and processed only where you wish an invoice to be issued to a company/business as the lawful receipt for your tuition fees.
• Where you are eligible and wish to claim a tuition fee discount under the applicable discount policy, evidence of eligibility is requested and processed, as appropriate, for the purpose of verifying the relevant entitlement to the discount. We process only the data that are strictly necessary to verify eligibility for the discount.
• Proof of payment of tuition fees is requested and processed in order to verify fulfilment of the student’s tuition fee payment obligations in accordance with the Business Confucius Institute’s applicable tuition fee policy.
• The information as to whether the prospective student is under or over the age of 18 is requested in order to verify the applicant’s age, since an online enrolment application concerning a minor under the age of 18 is submitted by the person exercising parental responsibility.
• Finally, participation data are retained and processed for archiving purposes in the public interest and/or for statistical purposes. Under Article 5(1)(b) of Regulation (EU) 2016/679, further processing for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes is not considered incompatible with the initial purposes, in accordance with Article 89(1) of the same Regulation. In addition, the archiving of participation data is intended to maintain records documenting the activities of the Business Confucius Institute, to ensure compliance with tax, accounting, administrative or other legal obligations, to maintain records relating to its transactions and decisions, to establish, exercise, support or defend legal claims, and to facilitate competent audits and/or inspections. The archiving of participation data is carried out in accordance with the principles relating to the lawfulness of processing set out in Article 5 of the GDPR.

Lawfulness of processing

The processing of the participation data requested through the online enrolment form is a necessary prerequisite for assessing your application, completing the enrolment process and enabling your participation in the Chinese language learning programme. If the participation data are not provided, it may not be possible to complete your enrolment and provide the relevant educational services.

The lawfulness of the processing of participation data for the above purposes is based on the performance of a contract or on taking steps at your request prior to entering into a contract, pursuant to Article 6(1)(b) of the GDPR, in the context of your enrolment and participation in the educational programmes of the Business Confucius Institute at AUEB.

The retention of participation data for the purposes of archiving and documenting the activities of the Business Confucius Institute at AUEB, complying with tax, accounting, administrative or other legal obligations, maintaining records relating to its transactions and decisions, establishing, exercising, supporting or defending legal claims, and facilitating competent audits and/or inspections is based on compliance with a legal obligation pursuant to Article 6(1)(c) of the GDPR.

Your rights

As data subjects whose personal data are processed, you have the right to be informed under Article 13 of the GDPR (EU) 2016/679, in accordance with which this Notice has been prepared. You have the right of access to the data concerning you, which you may exercise in accordance with Article 15 of the GDPR (EU) 2016/679 by submitting a relevant request. In the same way, you may exercise the right to rectify inaccurate data or complete incomplete personal data concerning you. You also have the right to restriction of the processing of your personal data where the accuracy of the data is contested, the processing is unlawful, or the Business Confucius Institute at AUEB no longer needs the personal data for the stated purposes of processing. You have the right to erasure of your data, which you may exercise where the data are no longer necessary in relation to the purposes for which they were collected and provided that the legal conditions of Article 17 of the GDPR are met. You have the right to object and may object at any time, on grounds relating to your particular situation, to the processing of personal data.

Duration of processing

Personal data are retained for as long as is necessary to fulfil the purposes for which they were collected, namely the assessment of your application, your enrolment and your participation as a student in the programme for which you submitted your application, and thereafter for as long as required by applicable law or as necessary for the establishment, exercise or defence of legal claims of the University. Evidence of eligibility for a tuition fee discount, collected for the purpose of verifying the relevant entitlement to a discount, is securely deleted once the verification process has been definitively completed. In particular, data relating to financial transactions are retained, in accordance with the applicable provisions of public finance, accounting and tax law, for a period of twenty (20) years, unless applicable law or a pending administrative, judicial or audit procedure requires their retention for a longer period. Participation data will not be used for automated profiling.

Recipients of the data

Participation data collected through the online enrolment application are processed only by authorised staff acting under the supervision of the Athens University of Economics and Business and solely for the implementation of the processing purposes described above. There is no need to transfer participation data to third parties, and no transfer of data to third countries or international organisations takes place.

However, recipients of the data may include the competent services of the Ministry of Education, the National Statistical Service, the Authority for Quality Assurance and Certification in Higher Education, etc., to which the University is required to prepare and submit statistical information, and/or competent public or judicial services and authorities to which the University is required by law, or in the exercise of its lawful rights, to transfer personal data, always in compliance with the GDPR regulatory framework and the applicable national legislation, Law 4624/2019, as in force.

Public authorities that may receive personal data in the context of a specific investigation are not regarded as recipients within the meaning of Article 4(9) of the GDPR (EU) 2016/679.

Supervisory Authority

In Greece, the competent Supervisory Authority that you may contact to submit enquiries or complaints concerning personal data processing matters falling within its powers under the GDPR is the Hellenic Data Protection Authority (www.dpa.gr). 

This Notice is provided exclusively in relation to the processing of personal data (participation data) through this online enrolment application form.
